General Workshop Policies and Procedures for 2009


 
 
Reservation/Cancellation Policies for Regular Workshops
 
Because of the effort our instructors put into preparing for their workshops and because cancellations cost our instructors a part of their income, we have created cancellation policies that we feel are fair to both workshop participants and the instructors. When a participant cancels a reserved spot in a workshop, it takes time and effort to fill the vacancy. We very much appreciate participants checking their personal schedules well ahead of the dates of a workshop to make sure there are no conflicts. If you discover that you will not be able to attend a workshop we would very much appreciate knowing this as soon as possible.
 
The following are our reservation/cancellation policies:
 
When you reserve a spot on a workshop, your are notified of the amount of the deposit. If your deposit is not received within 7 working days of being notified that it is due, your position will be released. We will notify you that your spot is being released before doing so in case there was a problem with receiving your deposit payment.  Once your spot is reserved via your deposit, the following cancellation policies are in effect:
 
If your cancellation is received more than 120 days prior to the beginning of a workshop, all of your deposit will be refunded to you, except for a $100 administrative fee.
 
If your cancellation is received between 120 and 91 days prior to the beginning of a workshop, all of your deposit will be retained. The only exception to this is that if we fill your reservation on the workshop. If we fill your reservation, all of your deposit will be refunded to you except for $150 administrative fee.
 
Any remaining workshop tuition is due 90 days prior to the start of the workshop. You will receive notification that your remaining tuition is due prior to the 90-day cut-off.
 
If your cancellation is received 90 days or less prior to the workshop, all tuition is retained. The only exception to this is that if we fill your reservation on the workshop. If we fill your reservation, all money will be returned to you except for a $150 administrative fee.

If, rather than a refund,  you wish to transfer your deposit or tuition to another workshop with available space for the current year, we will be happy to make that transfer for you.  If the new workshop tuition is more than the one from which you are canceling, you will be responsible for the difference.  If the new workshop tuition is less than the one from which you are canceling, we will refund the difference to you if we can fill the position vacated in the first workshop.  Again, a transfer to another workshop is dependent on filling your cancelled space.

It is not our policy to transfer deposits or tuition from one year to the next.
 
In the very rare and unfortunate situation where we are forced to cancel a workshop, all of your deposit and tuition will be returned. In all of our combined teaching experience, we have never had to cancel a workshop.


Reservation/Cancellation Policies for Inspirational Weekends  

Because of the effort our instructors put into preparing for the weekends, the loss of income to our instructors due to cancellations and because of the tremendous value of our Inspirational Weekends,  the cancellation policies for the Weekends are different than those of the regular workshops.

If you must cancel your reservation on one of our Inspirational Weekends 31 or more days prior to the weekend, one half of your registration fee will be refunded to you.   If you cancel your reservation 30 days or less from the date of the Weekend, all of your registration fee will be retained.  

You may always sell your reservation to another person.  If you do this, please let us know right away the name of the person to whom you sold your spot so that we can change the name on our roster for the weekend.


 
Trip and Equipment Insurance
 
We strongly suggest that you purchase trip insurance for your trip, especially once you've made non-refundable airline reservations, to protect against unforeseen situations (such as the flooding of Death Valley a few years ago that closed the park for a short time or other acts of nature). It also protects you against lose if you have to cancel your participation in a workshop due to an emergency. 
 
In addition, we highly recommend that you have insurance for all of your camera and computer equipment.
